Dashboards in Salesforce - A Brief Guide

Dashboards in Salesforce are graphical representations of reports. Visualize data from reports as components. These components provide a summary of your organization's key analytics and performance at a glance. 

Salesforce dashboards have five types of components. 

  1. Chart:
    •  Used to display comparisons. 
    •  Line Chart 
    •  Vertical Bar Chart 
    •  Horizontal Bar Chart 
    •  Pie Chart 
    •  Funnel 
  1. Table - Used to display a list. For example, top 5 or worst 5 possibilities. 
  1. Gauge - The gauge is used to indicate progress towards a goal. 
  1. Metric - A metric is used to display a single number, such as a grand total, in a report with a given label. 
  1. Visualforce - It is used to display Visualforce pages or components as dashboards. It is also used to receive data from other sources.

The dashboard shows data according to the last time the report was run. Every dashboard can have a maximum of 20 components. Access to the dashboard is determined by two things: 

  1. Folder:- The visibility of a dashboard depends on the folder in which the dashboard is stored. Only users with permission to access the folder can run the dashboard. 
  2. Running Users:- The information on the dashboard is based upon the current user's security and sharing settings. For the most recent user or you can say the current user, you can set: 
  3. Run as Specified User:- Shows information in the control panel according to the specified user's security and sharing settings. Anyone with permission to access the dashboard can see the same information. 
  4. Run as logged in user:- Shows data in a toolbar according to the current user's security and sharing settings, makes the dashboard dynamic. 

Dashboard data is based on report data, but when a user views a drill-down report for a dashboard component, the user's access rights determine the data displayed in the drill-down report. As a result, the information in the report may not match the information in the related dashboard. 

Dashboard can auto-update itself. It can be scheduled anytime on a daily, weekly or monthly basis, according to the need.

Dynamic Dashboard 

Any user can see the data to which they have permission to access. These dashboards allow you to control data accessibility without making separate dashboards. One dynamic dashboard can visualize a standard set of metrics at all levels of the organization. These dashboards cannot be saved to personal folders or private folders and also these Dynamic dashboards cannot be scheduled for auto-update.
