Search Duplicate Records in Salesforce CRM
It’s a manual way to search for potential duplicates and merge based on the selection of the Object. A list of the fields will appear. You have to select the fields for which duplicate records need to identify, Operation and Value which need to search. This will display a set of duplicate records.
- Go to Smart Duplicate Manager AppExchange Application
- Click on Search for Duplicate
- Select Object
- Select field of the object which is needed to check
- Select the Operator such as `Equal`, `Not Equal` and `Contains`.
- Provide the value based on field and operator.
- You can add multiple fields based on requirements.
- Select the logical operator like `AND` and `OR`.
Let’s take an example – I want to verify the list of a duplicate account that exists with the same name. To identify the record we will select the Object as an Account and Field name as an Account Name. Based on the requirement we will provide the operator `equal` and value of the field.
Based on the search spec it will show which Account Name is Babbleblab.
You can see 3 record founts with the same name in the system data. Now data merge can be performed on the record. For the business, you can select a number of records which are needed to be merged and click to Next Button.
The master record is automatically selected by the Duplicate Management App.
Smart Duplicate Manager performs a very smart role in the data merge so it will select master record automatically and which fields are different. A set of the fields will be displayed for the duplicate record and any of the record values can be selected while merging the record.
Only 1 record will be shown after merging the record. It considered as a master and the value will be selected such a duplicate record field.
Note- Duplicate Management supports merging up to 200 duplicates per 1 master record. Please feel free to run Merge with the same filter one more time after the current merging completed to make sure you don’t have any more duplicates left.
Auto Detect. Mass Merge in Salesforce</s ng>
This is the excellent feature of the Smart duplicate management to mass merge duplicate records in Salesforce. The system will identify duplicates based on a set of fields you`ve selected. Select up to 3 fields to uniquely identify records and the system will detect duplicates containing the same values in the field combination to the selected value.
- Go to Smart Duplicate Manager AppExchange Application
- Click on Auto Duplicate
- Select Object
- Select first field which will be the part of search criteria
- Select second field which will be the part of search criteria
- Select third field which will be the part of search criteria
- Select the Number of displayed records.
It will display a list of the record which will be holding duplicate value, based on the combination of the object and field value
Let’s take an example- I want to check the list for duplicates that have the same value of the respective three fields: Account Name, Phone Number, and Billing City. It’s a big challenge for the business to make the database clear as duplicate records reduce the efficiency of the system and can be harmful to the relationship with customers because multiple Sales teams will reach the same customer.
It will display a set of duplicate records, based on the search criteria, which will have the same value for the respective 3 fields of the object.
You can see based on the search criteria two records directed which have the same value for the 3 sets of fields. Smart duplicate manager will automatically select the master record and the fields which will be displayed for the duplicate record and any of the record value.
There will be only 1 record after merging and which will be considered as a master and the value which will be selected duplicate record field will be updated to the master record.
